University of WA Department of Global Health – Office Assistant for International Training & Education Center on HIV

The International Training and Education Center on HIV (I-TECH) is a center in the University of Washington’s Department of Global Health and has 10 offices throughout Africa, Asia, and the Caribbean. I-TECH’s 600 worldwide staff work in partnership with local ministries of health, universities, non-governmental organizations (NGOs), medical facilities, and other organizations to support the development of a skilled health work force and well-organized national health delivery systems.

Position Description
The Country Project Management (CPM) Team leads the management and implementation of I-TECH’s projects throughout the globe. The Office Assistant will provide administrative support to the Country Project Management team, performing a variety of clerical tasks such as processing documents and compiling data as well as interacting with visitors and staff. In addition, this position will provide back up to the I-TECH receptionist and assist other teams as needed. The Office Assistant reports to the CPM Unit Coordinator.

CPM Unit (50%)
• Ship documents & packages via regular and express mail internationally and domestically
• Copy, fax and scan documents
• File documents electronically and manually
• Distribute mail
• Assist with scheduling meetings and trainings
• Prepare materials for meetings and trainings (handouts, binders, packets, etc)
• Prepare conference rooms for meetings and trainings
• Assist with taking and distributing meeting minutes
• Manage CPM unit documents on server and intranet (roster, calendar, etc)
• Maintain CPM unit office supply inventory
• Maintain CPM unit copier and printer
• Assist CPMs with onsite support of visitors
• Assist CPMs with purchases of books and other training materials
• Assist CPMs with research and data entry

Other units (1.25%)
• Provide back up to I-TECH receptionist during lunch break and other absences
• Assist other teams as needed with variety of tasks

Qualifications Required:
• High school graduation or equivalent AND one year of applicable clerical experience OR equivalent education/experience.
• Experience using Microsoft Word, Excel & PowerPoint.
• Ability to work concurrently on multiple projects and work independently with minimal supervision.
• Strong interpersonal and teamwork and customer service skills.

Qualifications Desired:
• Bachelor’s degree
• International experience including living, volunteering and/or traveling abroad.
• Interest in Global Health or international development

Conditions of Employment:
This is a 62.5% position with the possibility of an increase in hours as needed.
